GUIDELINES AND TIMING FOR EXTERNAL GRANT SUBMISSION

These guidelines are effective immediately

We will make every effort to submit your proposal as we understand the importance of funding. However, if you fail to follow the steps below in the specified order and timeframe, the grants office may be unable to submit your proposal successfully.

 

At least 10 business days BEFORE your grant submission deadline:

You must submit your budget to the Department Manager and the Pre-Awards Office.

The Department Manager will work with you to establish the appropriate budget calculations (e.g., indirect cost rates, fringe benefit rates).

 

At least 7 business days BEFORE your grant submission deadline:

You must submit a complete copy of your grant proposal, including the budget developed with the Department Manager and a completed Rutgers University Endorsement Form (signed by you) to the Department Chair.

The Department Chair will sign off on the endorsement form as soon as s/he deems the scope of the proposed research, the budget, and the endorsement form appropriate for approval.

 

At least 6 business days BEFORE your grant submission deadline:

You must submit a complete copy of your grant proposal, including the budget that was approved by the department chair, and the endorsement form (signed by the department chair and yourself) to the Office of the Dean of your school.

The Dean’s Office will evaluate your proposal, budget, and endorsement form. 

The designated person in your Dean’s office (the Dean of Administration in FASN) will sign off on the endorsement form as soon as s/he deems the scope of the proposed research, the budget, and the endorsement form appropriate for approval.

 

At least 3 business days BEFORE your grant submission deadline:

You must submit a complete copy of your grant proposal, budget (approved by the department chair and the dean’s office), and a signed endorsement form (signed by yourself, the Department Chair, and the Designated Member of your Dean’s Office) to the Campus Pre-Awards Office (206 Blumenthal Hall).

The grant specialist will evaluate your proposal, budget, and endorsement form. 

The head of the Pre-Awards Office will sign off on the endorsement form as soon as s/he deems the scope of the proposed research, the budget, and the endorsement form appropriate for approval.

 

Important Notes:

You MUST complete all of the above steps in the specified time frame BEFORE you submit a grant proposal to a federal, state, or private funding agency.

If you fail to complete all of the above steps in the specified order, the grants office may be unable to submit your proposal successfully.
